Backing up PST files is one of the most direct and effective ways to protect your Outlook data. Here is how to do it step by step:
🛠️ Method 1: Export from Within Outlook
With this method you can export specific folders or the whole mailbox to a .pst file:
-
Open Outlook.
-
File > Open & Export > Import/Export: click this option.
-
“Export to a file”, then go on to “Outlook Data File (.pst)”.
-
Select the folders you want to back up (for example the Inbox).
-
Choose the destination and file name.
-
You can optionally add a password.
-
Click “Finish” to complete the process.
Outlook then exports the selected folders to a .pst file, which you can keep wherever you like.
📂 Method 2: Copy the PST File Manually
If you already have a PST file, you can back it up by copying it directly from the file system:
-
Close Outlook.
-
Go to the file location:
C:\Users\<UserName>\Documents\Outlook Files -
Select the relevant
.pstfile and copy it with Ctrl + C. -
Paste it to an external disk, a cloud folder or another safe location with Ctrl + V.
Because Outlook is not running, this method keeps the file intact and gives you a safe backup.
🔐 Security Tips
-
It is recommended to keep your backup files in an encrypted folder.
-
If you use an external disk or cloud backup, enable two-factor authentication.
-
Back up regularly and check file sizes (large PST files can affect Outlook performance).
